Group custom fields in Advanced Search
November 14, 2012, 12:55:54 am
I'm just wondering if there are any plans to make Group custom fields searchable?

We have a date field which tells us when a group's contacts were last updated remotely by the group leader. I'd love to be able to search so that I can easily see which groups have been updated recently and which haven't. Is it functionality that's planned... or not really at this stage?

Also, we have Group custom fields which show us each group's leaders and hosts. These are Contact Reference - Auto Complete Select fields. I'd like to create a smart group from some of these fields so that I can easily email All Leaders or All Hosts. Is this possible given that I cannot search on these from Advanced Search?

Thanks.

Hello LindseyM,

On your first point, I tried a few things, but the closest I could come to seeing this is in the change log. Unfortunately, you still have to choose each contact in order to see which group they are in. You can set up a search for contacts in "{name of group here}" against "Change Log" "modified" "Select time frame". Select one of the contacts, and scroll to the bottom right of the page. You'll see "Last Change by" with a name and date. That's the last time it was changed/updated/modified.

As for the second part, you could add a tag to the group Leaders, and/or hosts. Then you can search them from Find Contacts, or Advanced search. That would then allow you to create a smart group.

Hope this helps.

Cheers,
Jason

Hi Jason
The fields I'm talking about are Group fields not Contact ones. I can go into the date field for each group via Group Settings, but I ideally want to see at a glance Groups updated in a particular time frame (via a search) or all groups listed with their date of last update (which I guess I may be able to do via a View).

With the Group custom fields which identify leaders/hosts etc you're right that I could tag these people but that's a two step process and could be open to confusion if people are removed as a group leader and the tag isn't removed... hence wanting to feed the smart group directly from the group auto-complete custom fields if at all possible.

I'll keep trying! Any other thoughts from others?
Lindsey
