Capturing and Storing Contact's Emails

Hey guys,

How can I capture my contact's email messages and store them in CiviCRM? I want to do this so that I can refer back to them in the future, this would be very organised. I was told than I can use the Email-to-Activity Processor, but I am completely unsure as to how I can use this?

Can someone please explain how it works and the steps I should follow to capture my contact's emails? Also, where will their messages be stored?

What do I enter in the form fields under CiviCRM>CiviMail>Mail Accounts

Server (?)
Username (Is this where I enter my email? "Username to use when polling (for IMAP and POP3)." What does this mean?)
Password
Local Part (?)
Email Domain (?)
Return-Path (?)
Protocol (?)
Source (?)
Use SSL (?)

I was hoping it would be as simple as entering my email address and it records my emails. However, there are several terms that I have never even heard of before?

Where can I find the information for all this regarding my email address.

http://book.civicrm.org/user/current/initial-set-up/email-system-configuration/ < did you read that chapter? can you let us know what parts are not clear so that we can improve it for the next person that comes through, or even better you could make those changes yourself, since you in quite a good position to do so :)

ps. i think you are in quite a good position to do so because you won't be assuming any knowledge / will be able to write it in a way that someone who hasn't been there before will understand

I am struggling with the section about 'Inbound Email'. I have successfully set up the Outbound Mail.
The section with this subheading "Adding an incoming email account for handling bounces or auto filing to CiviMail "
I am not sure what to enter into each of the categories. I am using a GMail account which I want to save as an inbound email to record email activities. However, I am unaware about the type of server, protocol etc. I am using?

If you go to your gmail settings there is a tab called "POP/IMAP" which will tell you those things.
Try asking your question on the new CiviCRM help site.

Awesome :D I think I set it up correctly.

Where do I check if an email has been stored in CiviCRM? Will a new activity be created?

What happens if a person who is not in my CiviCRM contact list emails me? Does it create a new contact or does it ignore the email?

Thanks! I have lots of questions regarding this feature. :s

Yes it creates an activity.
By default it creates a new contact if there's no match, but you can alter that behavior with http://wiki.civicrm.org/confluence/display/CRMDOC42/Hook+Reference#HookReference-hook_civicrm_emailProcessorContact
