Finding active members with less than a certain amount of contributions

Hi all,

I'm using Civi as a membership system for a sports club and we're using the contributions to record additions and subtractions to an individual's virtual "race float". (So when they make a "race float" contribution, the race float goes up, and when they race, we put in a negative "race float" contribution and their race float goes down.)

On the whole it's working really well. However, one of the things I desperately need to be able to do is find out who's race float is below a certain minimum balance so that I can email them to remind them to put some more money in.

What I'd really like is a smart group that contains all individual contacts that have an active membership and an aggregate "race float" contribution amount less than GBP30. But I can't see any way to do that.

I can run a report that shows aggregate contributions less than GBP30, but I can't include current membership. And even if I could, the only thing I can do is add all the contacts to an existing group.

Any ideas as to how to do this?

Hello Denis,

Have you tried the " Contribution and Membership Details" Report? Under Report criteria, you should find everything you need to complete this task.

Reports-->Contribution and Membership Details.

Hi Jason,

Thanks for the prompt reply. I did look at the Contribution and Membership Details Report, but as far as I can see, there's no way to report on aggregated contributions. I don't want to see all the contributions that someone has made, just the total amount (and then only those with, say, less than GBP30) for "race float" type contributions. They also make contributions to pay for membership and I don't want to include those.

Denis, How about doing an -

Advanced search with contribution + membership criteria (per your rules) -> Creating a new smart Group -> Using Contribution Summary report with group filter specifying new smart group.

Hi Deepak,

That's a really good idea, having the smart group and then using the report would work really well. Sadly, the advanced search doesn't provide a way to filter on the aggregate amount, only a filter on the individual amounts, so I can't use that either.

Do I have to write a new custom search?

Denis,

How about not applying aggregate filter when creating smart group, but applying in contribution summary report ?

In case things not working, i think a new report would be better unless you want to do any special actions on result sets. Say summary version of "Contribution and Membership Details" i.e "Contribution and Membership Summary".
