How to Find and merge Organizations

What is the best method i can use to find and merge organizations? I have a situation where I have 3 or 4 instances of an organization all with contacts attached to them and I want to merge all into a single organization along with its contacts.
  • For example, I have this university entered in three different ways: Harvard University, The Harvard University and Harvard Business school.
  • How can i FIND and MERGE all to Harvard university and move the contacts of the other instances also to Harvard University
Any help will be much appreciated, thanks

I am assuming you want to end up with just one University and move all the existing relationships from one to the others?
You can create a rule to use with the 'Find and Merge Duplicate Contacts' option (with the Contact Tab assuming you are using CiviCRM 4.2). That will help you to merge them into one organization. You can not, however, use that to move the relationships from one organization to another. You will have to do that (as far as I know)
  • manually by ending the relationships with the 'to be deleted' organization and point them to the new one
  • by updating directly in the database, but you have to know your way around MySQL to do that. Make a backup before you do anything, the table concerned is civicrm_relationship. Depending on the way you set up your relations the 'to be deleted' contact will be in the field contact_id_a or contact_id_b.

Hi Erik,
Yes I want to end up with just one university and I am using CiviCRM 4.2.
I have tried using the advance search and by selecting Employer of under the relationships tab, I can find and identify all the duplicates.
Using the merge function from the actions menu, I can merge and move the relationships at the same time, the only problem with this is that I have have to carry out this operation 3 or 4 times depending on how many times the organization appears.

There isn't a way I know of that is better than just merging 2 of the Orgs, then merging the 3rd with the 1st, and then the 4th with the 1st.
If you have all the Orgs on a Search Result screen and merge the first two (and copy the url) you can then more quickly paste back the url and change out the ID for Org 2 with Org 3 and merge, then same with Org 4. Saves a few button clicks

Thank you, that's practically the way I have been doing it, its just a little bit time consuming
