Importing Databases: How to Match Drupal Accounts to CiviCRM Entries?
February 10, 2013, 11:23:55 am
Hi all!

I have a membership database of about 700 members. I'd like to import this to CiviCRM, but I am wondering about the results of when folks want to renew a membership and we have already imported their data. How do we match their Drupal account, which they conceivably have created on their own, to this data, which we have imported ourselves.

When new users sign up, it does this automatically, so I'm wondering what the appropriate approach is when importing data.

Thank you for any advice!

If you import Civi contacts and then need to create Drupal accounts for them, there are several approaches
- User Import module
- Rules (we should be writing a blog on this soon)
- script

If you don't want to make the accounts, but just let people create their own, then the match will be made on the email address used when creating the drupal account. (have forgotten if this also uses eg First Last, if you have First Last in a civi Profile used for User create - and if your Duplicate matching rules are set up accordingly)

Other thing to note is you can consider using a checksum in renewal notices so people don't need to login to get a prefilled form - main downside is
- checksums have a 'use by' date (default 7 days)
- anyone who forwards their email to someone else risks having their details overwritten by the other person if they use the checksum
