Custom event fields not showing up in advanced search?
March 16, 2013, 09:25:54 am
Hi there,

I've been playing in the demo to see if Civi will work for us, and I've come up against this issue.  Basically, we would like to track a general set of "topics" for our events, say Global Health, Climate, Education, etc, and then be able to run searches to see which of our contacts have attended events on a given topic.

I added a custom event field with the topics, and checked the box to make it available in search.  It does show up as an option when I create an event, but is not appearing in advanced search.  I also added some custom participant fields, which are showing up in search, so don't think I'm missing the point on how to get this to work in general.  Do custom events fields just not show up in advanced search, or am I possibly doing something else wrong?  If they simply don't show up there, is there another way I might achieve what I'm trying to do?

And a related question - how would I be able to run a search to pull up all events of topic X, say all events we have ever done on Health related issues, etc.

Thanks very much

I dont think we have a search that address the below question. A few options:

1. Might be able to use drupal + civicrm + views integration for this

2. You can write a custom search that addresses this need

3. You can extend the general participant (and hence main search) to also expose events and event custom fields

For your related question, pretty much same answers as the above. In this case however u'll need to extend the event search

would another option be to do this as a Participant field that is set 'per event' 'set to default' but not shown in the profile - would that result in the Participant record getting the value added - and hence obviate some of the above?

Thanks for that.  It does seem to work,  but might be a little awkward in the long run and I'd love to just have the topics show up on the event config screen to make things simple/ intuitive.  I'm thinking the custom search might be the best bet.
