Importing/exporting/using custom fields attached to relationships
April 16, 2013, 11:32:53 am
We have used CiviCRM for years and are beginning to use use it more seriously for Organizational contacts. We have hundreds of individuals related (Relationships) to those organizations for email and mail contact purposes. We have several different relationship types, but we needed a custom field of "title" to know and show the individual's job title or other title at the organization.

Creating that custom field was no problem, but it does not seem like there is any way to get to get that data through import or export functionality in Civi. Is this just not implemented yet or am I maybe missing something?

Ideally when doing an export of fields we could just choose: "Organization: Primary Contact Is: Relationship Fields: Title". This way we can address organization, business, or foundation contacts correctly:

Some Foundation
John Doe
Grants Administration Manager
PO Box 123
Tucson, AZ 85702

Thanks for any advice!

Can you clarify how you're setting things up? Individual contacts have a Title field "built-in" - but it sound like that doesn't work for your needs. What record is your custom Title field attached to (i.e. relationship, organization ...?)

Our custom Title is attached to a relationship. There is the ability in Civi to have custom fields attached to relationships, but they do not seem to show up for export/import... at least trying to export individuals related to an organization in our install of Civi. It does not appear that the built-in relationship fields of "description" and "notes" show up either. We are using CiviCRM 4.1.6.

In a more specific sense the fields you refer to are a single record specifically for an individual's title at their employer. We (and I'd guess others) need such a field associated with multiple relationships to organizations, businesses, foundations, neighborhood associations, and other entities. An individual can have multiple positions at numerous different organizations so a single, two field solution of Employer/Title is very limiting and also not correct if they are not an employee.

Thanks a lot for your response, Dave.

Unfortunately I think this is a 'missing feature' at this point. I suspect most folks are making do with the 'two field solution'. There has been discussion of implementing a "primary contact for an organization" concept (which is supported in the schema but has never been exposed) - but that doesn't handle the multiple title issue either.

Perhaps you can investigate and put together a patch for exposing relationship custom fields to export ??

Being able to currently add fields to relationships is great and already works well for our/this purpose. The problem just seems to be that those fields aren't exposed to the import/export interface. Since it seems like most other custom fields ARE already exposed, it seems like it maybe wouldn't be that difficult(?). The relationship custom fields are exposed in the advanced search feature, which is great.

Unfortunately I am not a PHP/SQL programer and don't know how to work on this. If we work on Civi features in the future we'll keep this in mind. Thanks!

One solution, of sorts, is to use the relationship report to export your custom data. You will have to make sure your custom fields are marked as searchable. The fields you can export are pretty limited, but it gets some of this data out.

I really think exporting this custom data from the search>export feature would really be helpful too.
