Planning a multi-org/multi-site install, suggestions or ideas???
April 27, 2013, 02:03:55 pm
My company currently manages several membership organizations, they outsource most or all office functions to us (finances, membership management, events, websites...other stuff too). Some of these are local chapters and connected by a larger national organization. The national organization tracks the membership and all we have is access to is a csv download for those orgs we manage.  Members can only get full benefits from the local chapter they belong to, unless they have an associate membership. Associate memberships are reduced cost and are managed by the local chapter only. Payments for the national membership with their local chapter are processed by paper by the national association.

Currently we have many civi installations and it’s a huge pain because it is a lot of trouble and manual processes having to sync the data we get from the national org. It gets really messy when one person has an associate membership or is just on the mailing/email list of others, this causes his/hers data to be duplicated across multiple civi installs. Another monkey wrench, members can also transfer their membership to another chapter, which we may or may not manage. So the record in the csv may have a different chapter, or may be completely missing. Luckily, member do have one national ID that is used to track them.

We want one civi database, have some process for syncing this data. Our staff members can have access to all contacts, but board members of the organization, should only be able to pull data/reports from their organization. Also when users/members/board members register for events or other actions it should be one from their respective chapters website. Yes, all the data should live in one database, but can also be accessed from any of the other sites.

Any ideas/suggestions?

Hi

Apologies for not getting to you sooner, only just spotted this post.

I have a similar setup to the one you are describing. We are a Currently a European Association with a single database running 8 websites on a Drupal front end. The setup allows us to have a single username and password that can be used to log in to any of the  sites - although what a contact can see and do having logged in is permission based and controlled by either the groupsync or membershipsync modules.

We have national associations in different European countries accessing the database for administering members in their own countries and their access is restricted by smart groups to their own country members using ACL's.

All members pay through the centralised system and are also ok to switch from country to country (or association to association) again using smart groups to restrict access. Although there is some element of manual intervention here.

Be more than happy to give some pointers if you decide to go down this route.

Regards

Robbie
