Recording activity info about a "third person"
June 03, 2013, 05:37:17 am
Firstly, thanks for Civi, it's support and the oppertunity to become involved in it.

Down to the point (I know time is valuable!)...

Could anyone suggest a method of recording activities about a third person?

We're a children centered charity, so often make calls between us and others about a third party (usually the child/individual that is the subject of the call)

  • 1. ourselves (or the person making the call)
  • 2. other contacts (whether an organisation/service etc) and
  • 3. the person (child) that is the subject of the call

Can anyone offer a way to record this info?

It seems to me a that
  • Assigning the call to them would be wrong as I don't want to place any responsibilty on the child.
  • putting the child down as call recipient/initiator would be confusing and non-productive
  • I can't seem to find a way to attach a profile that includes connecting to an individual (client/child)

so I'm a bit lost. any offers?
[/list]

if this is on drupal i would take a look at using webform_civicrm module which lets you do pretty much what you describe, namely update/add information about multiple contacts who are related, and add/update Activities all in one go.
The module is well maintained and good documentation

Brilliant - I've been using Webform, but not for more than the most basic. This is good news indeed!

thank you :)

edit... I do have a problem with knowing how to relate the call to the third person. It's an activity, so I can't connect it with a relationship ("subject of call") or similar. The only way forward I can see would be to have a tag for each client and tag such things with that name.

This seems a little, maybe, inelegant - and seems to have a million things that could go wrong (spelling / punctuation / ?

Sorry for my ignorance, but would you mind if I asked for advice on how to link the call to the (third) person?

Another issue is.... I'm just migrating from Drupal to WordPress.

I would recommend adding a custom field of type "contact reference" onto your activity.

That's brilliant. Thanks Coleman - I couldn't see the wood for the trees (and sometimes there are an awful lot of trees!!!)

Thank You, both,

M. :)

NB you can limit that custom field to only be on a certain activity type(s).
