Editing and generating reports w/ custom fields values after event registration
June 07, 2013, 08:14:51 am
Hey community,

I'm using CiviEvent and I had to create a custom registration profile with custom fields for people registering for a retreat, since things like meals and housing preferences are not there by default. That is all fine. However, after someone registers I need  to be able to edit the record in CiviCRM » Contact Summary but I'm running into some trouble. What if the participant calls me up later and says, "I want to change to the vegetarian option?" How can I do this?
  • First, I can't find those custom fields in Events > Manage Events > Participants > (Participant) Edit
  • Second, obviously I can't edit them.

The next issue I'm running into is in generating a custom report of the participants and their options to export. I need different reports, such as one for the check-in clerk and another for the cooks. Obviously, the latter only need to know the meal choice, not everything else. I can create different mappings, that's no problem, however, I can't find any of the custom fields I have created in the user profile.

I have searched the documentation and cannot find answers to these questions. Had anybody else run into these problems and how did you fix them?

Thanks.  :)

Hi - can you confir, if these are Participant fields, or Contact (or Individual) fields.

If the former, you should be able to go to their Contact Record (or via Find Participants) and find their Participant record - the fields should be there.

If they are Contact fields - then they should either be on the Summary screen or on a Tab, depending on what choice you made.

Yeah ok, I got it. I was able to change the participant values, such as tuition paid. However, I wanted to go back and edit that later, and it gave me this error message, "Sorry but we are not able to provide this at the moment. DB Error: already exists." Is it not possible to change the values after setting them once?
