Best practice to store a specific kind of email activity?

Oops, I think I posted in the wrong forum. This should really be in the Using Core Function one.

Anyway, part of my job responsibilities involve emailing out a California Medical Credit (CME) Verification Letter after one completes a course and when one requests it. I previously use CiviCase to track this kind of requests, but it is getting to a point where I receive a lot of requests and it is too time consuming to create a CiviCase for each request. I also notice that I don't need CiviCase to keep track of each step because I need to use another website to input their information. But if a member asks me to pull up a list of CME that one earns, I need to pull it out fast.

Since I am emailing those CME Verification Letters to them anyway, I am thinking of BCC-ing a copy to the doctors and have it track as an Inbound Email Activity. But I am also using it to store other kinds of email communications, so I wonder if I should delete other kinds of previously stored Inbound Email Activities and only store the CME Verification Letter from now on? Is this a good way to solve my problem? Or is there other advice that you think it will be better?

Not sure exactly what's the best for you but your approach certainly sounds reasonable to me anyhow. :)
