Search Webform Responses In Civi
August 25, 2013, 09:47:53 am
Just curious if anyone could point us toward updated documentation on any advances in the webform functions being searchable in civi, e.g., search favorite flavor ice cream and come up with a list of contacts who had responded vanilla, chocolate, strawberry, etc. Unless these are simply custom data fields that are created in civicrm and can get pulled in as possible responses with a webform? We're exploring it now but any guidance appreciated. H

Yep, that is the tradeoff between adding civi custom fields to a webform vs creating "webform only" fields - the latter are not searchable in CiviCRM.
2 pieces of advice I'll offer:
  • If you want the data in Civi but don't want it cluttering your contact record, add the fields as activity custom data.
  • If you don't want the data in Civi at all but still want to be able to do some searching, you can have webform_civicrm include the entire form submission in the activity body. So activity searches for the string 'vanilla' would meet your stated goal.
Either way you choose you need the webform to create an activity, and you might consider creating a special activity type for this purpose.
Try asking your question on the new CiviCRM help site.
