Search Survey Data in Civi Part2 : Found It
October 04, 2013, 04:03:43 pm
hello, i was able to locate the activity custom data set then tried to place the "survey questions" in a profile, along with the other civi data/fields, got excited, then see this message "Profile search, view and edit are not supported for Profiles which include fields for more than one record type. " We're just trying to search webform or activity custom data field responses in civi, it's probably just me but if someone could point the way much appreciated. H

"which include fields for more than one record type"
so are you including fields that are set up for Individuals and others for Organisations - or some for Contacts and some for Participants - or some other mix that it isn't liking

Hi Peter,  since we want the civi contacts searchable by their webform responses e.g.  my understanding is we were to load the survey data (questions, responses) itself under the activity custom data  http://forum.civicrm.org/index.php/topic,29788.msg127567.html#msg127567.

Though, re-reading Coleman's comment, it seems as if this doesn't have to be done using activity custom data (?), that this was more aesthetic consideration.

Since civi apparently won't allow you to use diff custom data fields (in this case, activity and org), does this mean we would need to create all the webform response fields in the organization custom data fields (?).

Still seems as if best flow would be webform an entity unto itself and we would build a bridge between the forms' data and the civi records. Perhaps there;s some optimal configuration of custom data, contact reference fields and activity data that accomplishes this, that we're missing. H

if we are doing a survey then yes we tend to capture the specific data on the activity via a webform
then we can use mostly use Views to look at that data

without understanding what your end game is (analysis/report/action?) I can't really suggest a next move for you

"We're just trying to search activity custom data field responses in civi"

as in Search and then display the fields on screen, or search and then take an action for those contacts we find?

Peter, re : your last question, it would be both. So the views would presumably display responses in some sort of report format (in civi? standalone pulled from webform?) where they could be viewed/exported at a glance, then we'd want to use those responses as search criteria to generate the a list of actionable individuals or orgs (based on their responses). So using the ice cream flavor analogy, all whose favorite flavor is strawberry within such and such geographical radius, or defined by other such org or individ. criteria. But since we already have the orgs in civi, as we complete the surveys, I was thinking to use contact reference to ensure the associated webform responses are attached to the exact correct civi contact and not create duplicates, let us know tho if that doesn't sound right or make sense. But it looks like we're talking some civi coding to create that type of search in civi advanced search. H

Hey again, Peter, are you able to search that views data in civi - or you simply search the custom activity data fields set related strictly to the survey ? Will try to build something tonight on it to see how far we get. thanks for the assistance H

that question doesn't quite make enough sense to me to answer directly so will probably fail to answer it indirectly

we build Views to show us the person/activity data required - and search using Views filters - we don't 'search in civi' as in via the civi search options.

Ok, sort of get it, by " person/activity data required" i guess those are the  responses/ values to the survey. Maybe we can trade looks at what we came up with at some point. Appreciate the assist. H
