Confirmation email for offline registration - how to disable
April 09, 2008, 03:48:18 pm
Hi - we are trialling using CiviEvent to record who attends Party meetings. So this is not an event the register for - nor that has online facility.

All we want is to set up event, after the event go in and mark all the people who showed up as 'attended'.

In my trial I was suprised to hear back from someone that they had received an 'event confirmation' email. My reading of the documentation suggests this is controllable for online reg'n - but how do I turn it off for offline 'attendance records' such as I describe?

Thanks

Isn't there a check box you de-select when creating the offline registration?

As Eileen noted - the default for Offline Registration is that the "Send Confirmation" option is checked.

... is that what's causing the behavior you're seeing? or are you unchecking this option and still having confirmations go out?

I think what I am asking for is different - certainly not what Dave's example does - well it is, but it is to be able to turn that off as the default when setting up the event - not having to do it for each individual.

As noted above this is just for our internal records of who attends a meeting. We do not want/need any confirmation going to any of them. And the objective would be to update this via a Batch Update via Profile so we won't be tweaking each contact (if that makes sense and is possible)

If I understand you both, you are showing me the option of turning the confirmation email off when registering a single contact.

Am I right in seeing that this is at the other end of the operation when I want it as I set the event up?

Peter - How are you 'registering' the attendees for the event? I'm thinking now that you're using the 'Add Contacts to Event' action from Search Results... or are you using Import Participants ??

I just looked at the interface for 'Add Contacts to Event' - and it seems like this flow does NOT include the "Send Confirmation" checkbox and option to customize your confirmation message which are available for offline registration of a single contact. Seems like these options should be available for the "batch" registration flow.  Would this solve your problem?

Hi Dave - I'm not sure what I'm doing yet  ;)

I just set up a single trial, and added one person to the event as a test (forgotten how) and got an an email back from them asking why they had a 'confirmation email'.

The work flow for this would be that a list of members would be taken to meeting, and ticks put against those that turn up.

Then I think the quickest way will be either the 'Add Contacts to Event' - or Import Participants for a bigger meeting.

Being able to set the 'send confirmation' as off when doing the 'add contact to event' would help if it is not going to be an option to turn it off when setting the event up in the first place. And I can see that customising the confirm msg at that step would also be useful if a confirm msg is required.

cheers
