using activities to track projects
November 02, 2013, 12:46:07 am
I am considering renaming activities to something else like "projects". My idea is to use the logic of activities to add projects (with attachments) to contacts in civiCRM and assign them to other staff members. In this way, it will be possible to see the status of the project, like completed , ongoing or suspended. I will also edit the actvity status to give it the right words used during the projects.
I will also be adding some custom fields. I do not intend to use the CiviEvent component in this install nor bulk mailing.

The only reason i am renaming is to make it simple and easy for others to understand.

Would renaming activities cause any malfunction in the system or is there a way to replicate the functionality of activities while maintaining the activities tab?

Thank you in advance!

The usual way of tracking projects is to use civicase (you can have several activities by project).

To answer your question: it's probably better to create a new activity type "project", but you probably can rename, try word replacement see how it works.

Hi Xavier,
thank you for the reply. I intend to use the activity type for "project type" and another question comes up, how can i disable the core activity types like "Mass SMS", I will edit some of them but i won't want to have all the build in activity types show up. Is that possible?

Thank you!

I might have not been clear enough: you can do it, but I don't think it's a good idea.

You are likely to use "native civi" features in the future (might be as simple as sending an email), and you will regret having "abused" the activity meaning.

simply create more activity types for your different project types, or add a custom field if you are sure you don't want to track more than one "activity" per project, keep in mind civicase when you outgrow the 1 project=1 activity model ;)

If you have lots of users/need to customise, you can remove the activity tab and create a custom "project" one that only lists what you want, it will need some coding.

Hi,

I don't think you will see it anywhere if you don't use civicontribute (beside the admin screen that lists all the activities, that is).

They are reserved for a reason, but if you feel that you really want to shoot yourself in the foot, you can probably either remove them directly from the database (in civicrm_option_value I think).

if you are going in to the db then you should be able to set ones you know you don't want to see anywhere to be disabled even if they are reserved if you are sure you won't need them

but am wondering where you are seeing these that creates such a problem?
