Hi,

is it somehow possible to generate invoices after (future) members have signed up online? The problem that we have now (and that I should solve quickly somehow) is that first I didn't think of activating the automatic receipt/invoice (invoice in case of "pay later", in our case the only option). But even now that I have activated it, the invoice doesn't fulfil the requirements for a real invoice with invoice number, and also doesn't fit into the work flow:

The organization wants first to check if the applicant has chosen the right membership type, which depends on the size of the company or organization, before sending out the invoice.

Though CiviCRM is very powerful, I haven't found any means to send invoices for pending memberships, and that's what we really need for using CiviCRM. Afaik you can only send receipts for pending memberships. The only workaround I see currently is exporting a membership report as CSV and generate a serial letter somehow in Word or LibreOffice/OpenOffice. Or do you have any other solutions?

Any help would be appreciated.

I believe you would have to custom code this as an extension (or module).

Hi Jens-Erik

I tend to agree that the llack of a simple effective invoicing facility is a drawback, and would potentially be of real benefit especially for smaller organisations that may not be running accounting systems or have book-keepers on the staff team.

Could be a great extension project.

Although it won't fit the workflow of sending the invoice after your organisation has confirmed the chosen membership type is correct, if you don't have money to implement a invoicing system you can achieve a lot by editing the system workflow template for online memberships.


The tax requirements for invoices in Australia are:
  • Legal name, Business number and street address - we have this in the header for every receipt or invoice.
  • Statement that it is an invoice -  included in the header using {if $is_pay_later}/{else}
  • unique invoice number - we use the contribution_id for this. It is always included in the header but label of Receipt Number or Invoice Number is again controlled by a conditional


You could also add info about the invoice not coming into effect until the membership has been approved as the right type.

Your requirements may be more stringent so it may not work for you, but it is just a suggestion.
