Trying to get contacts with phone numbers
December 10, 2013, 01:25:18 pm
Hi, I am new to using CiviCRM, but I am trying to figure out how to do searches using fields instead of tags.

Specifically, I am trying to create a phone list for a calling effort. I would like to use a group, and just have the entries with phone numbers, but I can't find any way to do it. And even if i did, is there a way to save favorite searches so I don't have to build the search again in the future?

I have used the search feature here and looked in the book to no avail. Please help!

You can use advanced search to find contacts by phone number.
You can save a search as a "smart group" - which will re-run the search every time you view the group and show you the most up-to-date results.
Try asking your question on the new CiviCRM help site.

Thanks for the quick answer. :)

However, I am not seeing a field to search for things like "Contact has phone number" or "Contact has address" for us to make a search from. :(

Hi Rick,

I think I understand now what you're trying to do!

For that, you should use the Search Builder option instead of Advanced Search.  Select "Address is not empty" and/or "Phone is not empty" and see if that gives you what you need.  Then create smart groups like Coleman suggested.

I think that's got it! I was trying Organization and confusing myself, but using Contacts... I think I got where I needed to be. Thanks!

Hello again, we got it going, but now I have another question. How do we exclude groups? I would have thought we would start with a criteria of

"Individuals" "Group(s)" "!=" "Students" and I would have thought that would have done the trick, but it didn't..

also, what does AND "Added" mean?

Thanks in advance for any help you can give.

Rick_R  if you're having difficulty with Search Builder, you can use the custom search of Include/Exclude Groups/Tags to create a smart group that excludes the Students.

As I understand it, "Added"  means the contact is in the group.  "Removed" means it was taken out of the group.  You can manually add or remove contacts from a group one by one or in the actions dropdown on the search results pages.  Also, folks who unsubscribe from an email will be "removed" from all the groups that the email was sent to - even if they are not in the group.

Ugh - another person bitten by http://issues.civicrm.org/jira/browse/CRM-6652.

Rick - it's a bit tedious, but there's a workaround for the bug, which ptpmark has already hinted at.  Create smart groups of "Has Address", "Has Phone", and/or "Has Address and Phone".  Then use the custom search "include/exclude groups" to include, e.g., "Has Address" but excludes the other group you need excluded.

Hi, thanks for the answer. I am doing this as a volunteer at a non-profit, so I am only here a few days out of the week. I am proud of my Executive Director.. she actually figured out how to do that! Again, thanks for the answers!
