How to add any field to reports?
December 11, 2013, 03:32:35 pm
Hello

I am confused by reports. I want to generate a report containing both mailing and home addresses, as well as all phone numbers.
The reports section of Civi is confusing. Why can I not find a simple way to add what I want to be displayed in "Display Columns".
Seems weird it's hard to be able to get a CSV of everything in the database.

Thanks
Scott

Have you considered using advanced search to find the contacts then selecting Export Contacts as your action?

You can save the fields you want to export as a field mapping so that next time it will be quicker to do.  If the selection criteria for you contacts is complicated you could also save that as a smart group definition.

Thanks,

Still seems more difficult and I cannot seem to export all contributions, all details of contacts and all membership details into a simple CSV file...
I also note Custom Reports requires a degree in PHP and MySQL.

Do you have a guide on how advanced searches work, so I can export we need? I did not think it would be this hard to export data.

Cheers

A file containing all that would not be at all simple - contributions and memberships are one-to-many relationships with contacts, not easy to represent with a spreadsheet.
What you'll need to do is export 3 spreadsheets:
Find Contacts -> Search -> Export
Find Contributions -> Search -> Export
Find Members -> Search -> Export
This will give you the data you need.

Thanks.

The issue is I want to generate a simple CSV file that contains all contact details (include 2 phone number or addresses) if they have then, membership years, and amounts contributed. That is what I am struggling with. No option to add the second phone number or address in any of the reports.

Yes, you are right, there is no way to do that with existing reports.

Your options appear to be:
  • write a custom report yourself if you have the skills
  • pay someone to write a custom report for you bearing in mind that it might need to be modified if your memberships, contributions or the database schema change in the future
  • use the existing report to get out the main information, then export the contact Id, second address and phone number and use something like vlookup in access to add this information to your main file
  • use advanced search followed by export  to get the information you require.

If you choose option 4 you may be able to do it with 2 exports by using advanced search with display results (top right corner) as memberships for the first export (You will be able to export address details as well as membership details). You can then modify you search criteria to display results as contributions.

That's Drupal...Sigh. OK. So is the ability to make customized reports even going to be made easier? :)

I took a quick look & the Flexible contact report - in the Extended reports extension does export multiple phone numbers. I think we the functionality somewhere to do multiple addresses too - I can take a quick look.

Administer/ CiviReport / Create reports from template

I think the basic report has multiple phone numbers - but I didn't see the multiple addresses there :-(

I can't find multiple addresses or multiple phone numbers :(
Never thought Civi would be this hard to extract data.

Would be helpful if you can extend eileen's reports to add the ability to export multiple addresses in that report (and submit a patch to eileen etc)

We should aim to make it as easy as possible to import/export data from civi. so enhancing existing capabilities would be awesome

if you are not a developer, might want to pay eileen / fuzion to do the needful and hence improve the ecosystem

This is what the multiple phones looks like ( on the flexible contact report) - I checked & where I did it with addresses it was with some other fields in a very specific report. (NB - don't use the latest activity fields on 4.4 unless you retrieve from git - just spotted they are referring to the old field)
