Usability - CiviEvent
April 21, 2008, 06:39:13 pm
Now that we are actually using CiviEvent for live enrolments I'm identifying a few areas where it could be easier to use. I'll note them here & log them to civiVoice or the issue tracker on advice:

1) Changing the price. We get users who sign up for one price and then pay another for one reason or another (often to do with early payment date). It seems to be necessary to delete & re-create the whole registration to change the price.

2) Searching for events in the manage my event page. A radio button for 'all events' would make life easier as I have to keep setting the date range for every query I run when I want past events included

3) Ability to add tutors/ hosts to full events. ie. limit applies to the participants not the tutors

4) Ability to have the participant listing either not show the tutors or group them separately from the participants

5) Ability to have no fee for tutors / hosts without creating a price of $0 to add them

6) ability to add someone to an event directly from the event - ie. not have to search for that person & then go into that person & add them to the event from that person's page.

7) this one is probably a bug. When you confirm a pending payment & select to send out a confirmation e-mail the address which is set to be 'cc'd to on the on-line registration form does not get cc'd as it does when the person pays on-line by credit card.

NB - on number 3 I have added the following line as 319 in Participant.php but I guess I'll have to keep putting it back each time I upgrade as it's a hack

 AND   civicrm_participant.role_id != ( 3 )

Another one - I'd like to use the update profile by batch but I'd like the resulting screen to be sorted by event. I can't find any way to sort this screen

Another one:

being able to sort the events on the list (right know, only by alphabetical order, it's be great to sort by date).

I have hit another issue related to the ones I listed above - I have been doing partial refunds to students as the price for an event changed. I am currently having to cancel the whole thing & re-enter it.

I take that back - I can re-receipt the amount actually paid & it replaces the full amount in the contribution record.

Someone asked me the following question and I thought I would post my answer based on what I have found:

Hi Eileen,

I read your post about "re-receipting" folks to give them partial refunds using CiviContribute. Can you walk me through the steps to do that. If it's a full refund, would you re-receipt them for $0? Is canceling a contribution equivalent to giving a full refund for record-keeping purposes?

Thanks,

- yes - cancelling appears to be the same as giving a full refund. I have found three different ways for processing a refund that make my figures work if nothing else. Note that I use a payments customised report that calculates the credit card fees paid so keeping this disctinction is important for me:

1) Full refund - just going in the contribution & changing it to cancelled.

2) Partial refund when payment was made by Pay-later - going into the contribution & changing the amount (I re-send the receipt with appropriate comment). This doesn't work by credit card

3) Partial refund when payment was made by credit card and refunded by credit card. If necessary I create a new (temporary) price and go into the event registration and receipt it at this price. It appears to edit the existing entry rather than creating a new one.

4) Partial or full refund when payment was made by credit card & refunded by bank deposit (or vice versa). I create a new (temporary) negative price and create a second registration for the person in the same event with the negative fee.
