Scheduling and recording emails not sent via CiviCRM

It looks like it is not possible to record sending an email in the same way as it is other activities. This leaves me with a couple of problems.
  • Scheduling Emails -  I want to be able to schedule emails as tasks to be completed in the future. It looks like this is possible via CiviCase but not directly as an activity.
  • Recording Emails not Sent via CiviCRM - I want to be able to record email sent via another email service outside of CiviCRM. 
One solution would be to create an activity type similar to 'email' and use this to schedule and record emails that were sent outside of CiviCRM. Would this be the right approach?

That sounds fine.

Are you aware that you can also set CiviCRM up to get all emails out of a particular email box & create activities from them? Some orgs just cc that email on their communications

Thanks Eileen,

No I can't say that I had thought of that. That sounds like a very useful feature. Is there any documentation on how to set this up? I can't seem to find anything in the book (although maybe I'm just looking in the wrong place).
