Handling overpayments of Membership Dues
March 04, 2014, 03:52:30 am
Many members overpay as a way of contributing extra, including some of those entitled to honorary (free) membership who choose to pay at the standard rate. How does/should Civi handle the overpayment amount? Can this be tailored? I'm puzzled that I can't seem to find mention of this.
For these cases, is it best to use CiviContribute, rather than bulk updating in CiviMember, and then update the memberships manually?
We have fixed period memberships so everyone pays at this time of year.
There are no freebies/premiums involved so any overpayment is a gift rather than for a benefit.

You haven't found mention of an "overpayment" because CiviCRM would handle this as a membership payment and a donation/gift.

For many organisations using Civi a contact will be able to claim a tax deduction for a donation, but not for a membership fee.  Does this apply to your organisation?

I can see that you are fairly new to the forum.  Does that mean you are new to CIviCRM?

Is this the first time you have wanted to update memberships or import contributions?

If so, do you know if you need to report separately  on 'true' membership income and on the 'overpayment' income or will  total income be sufficient?

Joanne,
Yes, you're right on all counts. As I understand it:
- Handling as a Membership payment plus a gift is just what we need.
- The membership fee (£15) does not qualify for gift aid.
- The amount of overpayment should qualify for gift aid. We have the Gift Aid module loaded but have not investigated this yet.
- Underpayments are also frequent because we take Standing Orders and people forget to adjust the S.O. amount. Sometimes the difference is made up in cash later (e.g. an extra £3) so I trust attributing this to Membership Dues will automatically set the membership status to Current.
- We are not set up for Direct Debit but I'm recommending this as a way to reduce underpayments in future.
Thanks for the quick response.
David
