CIVI Report Multiple Donations per person

Hello,

I am not a developer, I am a user. I would like to run a report of all contributions within a given year. Once running the report, I want to export the information in order to do a mail merge, so I choose the fields for my report including name and address, contribution date and amount. However, if a donor has made more than one contribution in a year, only one of those donations are exported in this type of report. Is there a way to choose my own fields to export but also have it list if there is more than one result per person of record?

Similarly, if I run an Activity Report on a group, the report lists the members of the group and one activity for each. Is there a report to list the group members and all their activities, or do I have to do a separate report for each individual?

Welcome Drubeo,

Sometimes to get the data you want available for export, you search instead of reports. Every time you get a search result in CiviCRM there is a dropdown menu in which you can choose what you want to do with the data you've found. And there is always an "Export" in the list. After you select "Export", you'll then get to choose which fields you want. Very powerful!

So, for example, search on contributions setting filtering on dates. I'm not sure if you can limit the result set to only one contribution per contact ID. Maybe there is. In Excel you an pretty easily filter on unique values.

But my main point here is not to limit yourself to CiviCRM reports when you are looking to gather data. CiviCRM Search is pretty amazing. (And there are multiple ways to search: regular, advanced, search builder. And they all offer lots of stuff you can do with the result set.

Thanks, Shai. I have used Advanced Search which easily allows me to find a constituent from among a number of parameters. And I have used the Select Fields For Export function, which is helpful. However, there is no drop down to Export Activities, which is one problem I have been having.

Also, I don't want to limit it to one donation per person. As a matter of fact, I would like to export all of a constituent's contributions. My trouble is how do I select fields for export so that if a single constituent of record has more than one contribution, it will export all of them. It seems to just pull up one result per person.

Hi Drubeo,

It sounds like when you are searching, you are selecting, "Find Contacts." Further down the search menu is "Find Contributions." The result set of that search will be one row per contribution. The user data will be there with lots of fields available on export.
