Maintaining a database of volunteers
August 08, 2014, 04:03:37 pm
Hi can anyone give me a kick in the right direction please...

I am involved with a local charity. We have a number of volunteers, many of which hold a specific role, e.g. membership secretary. Some of the roles are duplicated within different branches e.g. program secretary. We want to create a database using CiviCRM to hold the contact details of each of these volunteers. This to include the role(s) that each person currently holds.

We are using CiviCRM integrated with Joomla. We would like the volunteers to be able to maintain their own record through the Joomla front-end and for some volunteers, managed by Joomla ACL, to be able to maintain the database - again through the Joomla front-end.

I have created a profile to hold the data items that i want to be used for the volunteer database and I have created a "profile edit form" which is linked to a Joomla menu item and this can be used by registered users to maintain their own contact record.

Two things at the moment i am having difficulty with are
a) how to set up Joomla/CiviCRM to allow some people to maintain all the contacts via the Joomla front-end
b) getting the best method (groups/tags/custom fields) to hold the volunteer posts data items.

I cant be the first person to what do do this kind of thing. I have looked for tutorials that might help but couldn’t find any around these two specific queries  :'(

Any suggestions would be very gratefully received.

Thanks
Dave

I don't think civiVolunteer will work for this case.

I think you're on the right track with the profiles.

I would, I think, use relationships to track the roles. You would create an Organization for the organization and then create relationship types for each role you have and then you can create the relationship between the individual and organization. The benefit of doing this is you have start and end dates for a relationship which would allow you to keep a record of who was membership secretary for a certain time period.
