Processing and managing participants
November 17, 2014, 11:35:00 am
we have a site with drupal 7.33 and civicrm 4.5.3.
We are an organization of parents of students. We use civiEvent to record-school activities for children. A parent registers a child, using online registration, after we confirm and father makes a transfer.
We use workflow messages and pay later. School activities are quarterly. After three months, may be a new registration, cancellation or continue three months more.
What is the best way to work? if a parent decides to continue another 3 months, we have to make a new record? or is there any way to add a new payment to the exits registration ? .

Thanks and sorry for my English

I am not clear about what you are trying to achieve? What is the reason for chosing Events rather than Memberships?

We manage extracurricular activities (chess, volleyball, dance, english, etc ..). We have about 20 different.
we have to explain the agenda schedules, payment, etc. in the online registration. When CiviCRM was installed, it was found that the best option, was to use events for this.Error?

Now, we have a doubt. We have 20 events and 400 contacts registered. Some will be canceled, others will be registered online, but those who are already registered?, and that will make the transfer in the bank, how do we can manage?
Duplicate a record of an event so that we can register a new payment of 3 months, or is there any way to add a new payment to a record that already have been 'registered'?

I hope to explain well.

thank you

It sounds like people pay for a longer period (3 months) to access events that are happening more regularly (once a week).  Is that right?

Like Erik says, if this is case, it MIGHT make more sense to move to a membership model instead, with a 3 month term, which will help with renewals. etc.

Given what you have said, sounds like membership might be better.

The parents are members. They pay a year fee. We offer to our members extracurricular activities. Activities are yearly too, but the payment is quarterly. The parents registers children from online page, at the begining of a quarter. When the quarter ends, the can keep,  or cancel, and other parents can register too. The duration of activities is a year, but quarterly can been cancelled, keep or newing.

It sounds like you have a situation that can not be answered with a simple forum post. I would recommend you arrange for some support from a local CiviCRM expert to get you jump started? Alternative is to have a test version of CiviCRM and test your process with memberships, list the good and bad points and perhaps do the same with events. From what you quickly put in a few lines I can not decide if memberships can support your process or not.....
Your online registration page could be done using the Drupal module Webform CiviCRM integration, if you are using Drupal that is.

thank you.
we are in drupal and we use views for register to the events
We list the events in drupal and the users choose one event and register the children.
The parent is a contact and membership of our organization and the children is a contact. Both of them are part of a household.

thanks for your support

I would recommend you to use the Webform CiviCRM integration module for the registration page?
