Different results smart group / custom search
February 20, 2015, 01:57:19 am
Hello

I'm new on CiviCRM so this question may seem weird for you but here's my problem.

Smart group A : membership status = current + grace / Smart group B : membership status = current + grace + expired.
I created a smart group called "ANCIENS" : it corresponds to group B - group A.
In this group, I have 5132 contacts.

But, when I do a custom search for which only criteria is to be part of "ANCIENS", I find 5398 results.
In these contacts, I have those of my smart group, but also other people, which have :
- one or many previous memberships with "expired" status
- at least one membership with "current" status

However, in my database, I have plenty of people who are in such a situation (expired membership(s) + a current membership), but only a part of them are in the results of my custom search.

Can anyone help me to understand what's going on please ?

Thank you very much

Hi Lucile,

there is a scheduled job (cron job) that periodically updates smart groups. As a first step may want to make sure, that it is enabled: >>Administer >>System Settings >>Scheduled Jobs

Also check your server's cron job settings.

Best Regards
Fabian

Hello Fabian,

Thanks for your answer. I checked all the scheduled jobs process and all seems to be working correctly.
I can run the job, and the cron job's logs don't mention any error.

In your opinion, is there any other thing that I should check ?

Thank you again

Morning

It may be something odd about how civi is doing the numbers but perhaps it is the logic.

Quote
Smart group A : membership status = current + grace / Smart group B : membership status = current + grace + expired.
I created a smart group called "ANCIENS" : it corresponds to group B - group A.

You already understand that it is possible for a contact to have an old membership that expired and a newer membership that is current.

If you are after contacts who have once been a member but are not currently a member then perhaps this recipe works

Group X = contacts who have a new/current/grace membership
Group Y = contacts who have an expired membership

Then if Group Z = Group Y - Group X does that give you what you need, or is that the same problem you currently have.

Hello Pete,

Thank you for your answer.

I understand what you're saying, but my problem is not really in the construction of my smart group, but in the fact that I don't have the same results in my smart group, and in an advanced search in which the only criteria is to be part of that smart group.

It's annoying because I wanted to use that smart group in an advanced search in order to combine it with other criterias, but if the result is false, I can't exploit it.

Do you have any idea ?

Thank you again

Hello every body,

We could figure out where the problem came from : one of my smart groups (the A) had been modified several times since its creation, and its functionning was damaged. Its results were wrong so the results of all the rest were wrong too.

I just had to recreate the smart group A, with exactly thesame criterias, and everything was fine with all the other groups.

Thank you for helping, and hope this could help others ;)
