Best structure for event organizers (individuals and organization)
March 03, 2015, 01:36:12 am
Hello there,

We are working on migrating an old custom build system to CiviCRM, and we have most of our data structure figured out, where only somewhat stuck on event organizers.
We manage about 1200 events each year, who are organized by our member-organizations. And who have individuals which are the responsible persons for the event. Those individuals aren't always participants to the event, but the persons whe have to approach to discuss stuff about their event, and to pass information to. Each event has multiple organizations and individuals organizing it, and organizations and individuals can organize multiple events per year.
At the moment we made 2*3 custom fields on the event, with a contact reference. Thet first three for the individuals who organize the event, and the other three for the organizing organizations. The reason whe take 3 fields for each is because CiviCRM doesn't support multiple contact reference fields, but that's another problem (https://issues.civicrm.org/jira/browse/CRM-16026).
It's however also not possible to find events through the api, based on those custom fields. (https://issues.civicrm.org/jira/browse/CRM-16036) This makes us doubt if we are using the right approach here.
Does anyone have suggestions / experience how you should map event organizers in CiviCRM?

I have a client who uses exactly this method. To search via organizers, did you try using a View?
