CiviVolunteer Vs CiviEvent Registration

I am just starting to look at CiviVolunteer and curious what is doable through an alternative process, and what simply isn't possible yet.

We have a few upcomming events where we'd like to have only volunteers register online - in these circumstances, we could have volunteers use the regular event registration process with a participant type of 'Volunteer' or we could use CiviVolunteer.  Either way,volunteers should be able to select the day(s), times & roles they are available to do (easy in CiviVolunteer, not sure about event registration).  Either way, we'd like to be able to do the following:

  • Automatic Email Reminders - based on the first shift/event volunteer date a volunteer would select (events does this, does civivolunteer?)
  • Easily email volunteer sub-groups - Send email to a sub-set of the registered of volunteers based on their shift, volunteer date, or volunteer assignment
  • Print out volunteer sign-in/sign-out sheets, in alpha-order grouped by date and/or role
  • Track volunteer involvement - easily see how many times a person volunteered and for what kind of positions and events for targeted solicitation (for new volunteer opportunities and fundraising) This is not necessarily based on qty of time, as one person who volunteered 4 different events for 2 hours is more likely to volunteer than someone who volunteered one day for 8 hours.

This is pretty basic stuff & I know both ways will do some version of the above - which is the easiest for follow-up and management?

Another concern with CiviVolunteer is different volunteer profile fields for different events.  Some events we provide t-shirts, some we don't - not sure we want to ask t-shirt size if none will be available.  I hope this becomes a select-able profile (instead of reserved) in the future per event (or even per role).

Use CiviVolunteer for this.

CiviVolunteer doesn't do this per se, but you could set up Scheduled Reminders for Activities of type Volunteer. Note that, unlike most CiviCRM Activities, Volunteer Activities put your constituents in the Assignee Contact role rather than the Target Contact role. Limiting the reminders to the first shift/event a volunteer selects sounds like it could be tricky, though.

I don't know about easily, but, yes, you could use the Volunteer report to query per your criteria and put matching contacts into a group, then send mail to the group.

The Volunteer Report (or many of the Activity features of CiviCRM core) should facilitate this.

This feature is in CiviVolunteer 1.4, which will be released this week.
