Search only active records
June 10, 2008, 02:06:27 pm
Hi all!
First steps with Civi, I find it great. I work for a farmers non-profit organization in Argentina.
It has a complicated structure, I'm not sure yet where to use hard groups,  or simulate it with organizations and households. But this could be a matter of a future question.

What I need to know now is a way to have searches that only give "active" individuals. For example, some people have rotating positions within the organization (i.e. they are Presidents of their groups). I want to search for Presidents and have only the actives.
The only way I found to do this is to create a President membership and a smart group with the current membership status. It seems complicated, someone knows a better way?

Thanks a lot!
Kind regards

Diego

You could use Groups, Tags, or custom fields to designate certain contacts as 'Active.'

Hi Matt:
Thanks for your suggestion, but I need something associated to dates.
The positions I'm talking about have starting and ending dates. While the ending date is empty, the contact is active. Mark the record as inactive in other way doesn't keep this historical information. Besides, one contact may have several positions, and may be active in some of them, and inactive in others.

Kind regards

Diego

Take a look at using "Relationships" for this. They persist as "inactive" when a past End Date is set. Since you haven't really outlined the structure (i.e. Presidents of what ??) - this may or may not make sense - but creating a "President of" relationship and linking people to their orgs may work.

... and one warning... this approach won't work to well for you until 2.1 is released. Prior to 2.1, Advanced Search on relationships doesn't allow you to filter on active vs. inactive relationships.

If relationships don't work / make sense (i.e. you don't care what they are president of...) - then just putting Presidents in a static "group" might work. We do persist the date that a contact is added / and when they are removed.

Dave, thanks a lot!
I already evaluated relationships in my structure planning, and it may work if the search work as you described. I will be looking forward to version 2.1
You also add valuable information for me about the static groups, I'm going to check it.

Kind regards
