Will this work for us?
July 02, 2008, 09:22:09 am
I am searching for a database that we can use for our small school. We have about 200 families involved at our school with about 250 students.  While we will grow some, we won't ever be huge.  Eventually, we will also work with a foundation that hopefully will have more than 250 members - perhaps up to 500+ donors.

At this point, we have three main revenue sources -
1) An auction/event for which we sell tickets and then, items. We will want to keep track of who could (and then does) give us items, who buys them and all the money involved with that.  We'd also like to send out thank you's and other solicitations from this list.
2) Two different solicitations to give money - one for parents to make a donation and an annual fund.  All the expected info we'd like to track like amount, person, date, address etc.  We'd also like to track pledges here.
3) Grants - with reporting dates to keep track of, amount, donor's info etc.

Mostly, I would be administering this - setting it up too I suppose - but there would be occasions when 2-4 others would need to get information from the system and perhaps enter info under my supervision.

Given this cursory information, would CiviCRM work for us? We currently run our website using Joomla, so that interface would work well.  Any ideas would be very helpful.   I have also received a quote for a custom build of a database, but if this would work, it would be wonderful.

thanks

Michał Mach

Hey,

I'm not able to give you straight answer to your question (especially that being part of the team, I'm not objective :-) ) , but here's a few remarks that might help you:

Ad 1 - CiviEvent provides ability to run paid event registrations, so it might do the trick when it comes to "online" ticket selling. However, you would have to figure out how to organise workflow for "offline" ticket selling in the database.
Ad 2 - CiviContribute, potentially with CiviMail should work for you here. New version of CiviCRM is going to have pledging functionality. You might want to review the specification and check if planned functionality works for you.
Ad 3 - CiviCRM has CiviGrant module, but it's on early stage, just the initial version has been implemented, so you might want to check in detail if it can work for you. It has been intended for passing grants *to* people, not for tracking grants received, so there is a chance it might not be very suitable for you.

I would also propose taking a look at online demo: http://demo.civicrm.org and documentation: http://docs.civicrm.org - both can help you verify if CiviCRM is right for you.

Thx,
m
