Organizing and archiving data

Hi,
One of the things that I am trying to do with CiviCRM is to keep track of who sits on the boards of our neighborhood associations and what their position is.  I have created a group and tag to keep track of this current year, but I was wondering if there was a good way of archiving that information so that it becomes a permanent part of the contact record.

One approach is to use relationships...
- create a new relationship type -> "Board Member (is / of)"
- create a custom data group "Used for" = Relationships, "Board Member of" and add custom field for "Board Position"
- create an Organization type contact record for your board

Now you can create relationships with Start and End Dates for each Board Member - which will persist beyond their tenure. If they serve multiple "terms" - each term is represented as a relationship (which could carry a different Board Position as well).

You should also be able to create a "Board Members" Smart Group from Advanced Search - searching by relationship type. In 2.1 you can search on Active vs. Inactive relationships - so you could have an "Active Board Members" and an "Inactive / Prior Board Members" smart group.
