Pledges: Reporting and Exporting
August 13, 2008, 07:48:24 am
The good news: Sandy, my administrator, has recorded some sample pledges and posted payments against them. She did not run into any obvious rough edges.

Question though:  While we understand that there aren't any reports or statements built into 2.1 for printing and mailing, we can't find an obvious way to export data to build our own reports.

Adding a group selector to "find contributions" would enable us to build a smart group from the Advanced Search page.  Adding the pledge data displayed for each individual in the CiviPledge dashboard to the contributions export or an export function for that data to the CiviPledge dashboard would make this data much more usable.

Can you explain this a bit more - what you're trying to do, desired workflow and output. Not sure what you mean by "group selector".

Can you clarify what data you need in export. I'm thinking that the right solution is adding Export to "Find Pledges" and including the Pledge + Payment data as shown in the Find Pledges results rows (along w/ standard contact fields as we now do for other component exports). I've posted an issue for 2.2 as the target solution - but would appreciate your specific feedback on this.

I'm talking with the team about whether there is a shorter term solution given where we are in the 2.1 cycle - possibly working with you to do a custom search? Will post back on this.

David-

Thanks for such open responses.

We report on pledges by contributor: Contributions made, pledge balance and so on.  Our current report format is attached to the Phase 1 spec.  I know that such reporting was moved to future releases, so I was trying to find a way to export the data.  I would informally estimate that 35% of my membership base does not use the web, so I need a paper method to communicate with them.

I was trying to find a way to export the contribution data for those who had pledged.  There are lots of ways to find contributors, but no find by group.  The Advanced Find screen includes pledge searching, so I wondered if I built a smart group there, could I use it in CiviContribute to find contributions made by those that had pledged.

I'm looking for at least:
Standard Contact Fields
Total Pledge
Total Paid
Payments Completed

So that I can create the paper statement referenced above.

In the long term, I'd really like to have an option in CiviContribute to export pdf's of a statement similar to that which I've referenced above that combines pledge status info such as Total Pledged, Total Paid and itemized payments toward pledges as well as non-pledge contributions.  We will use 2.1 this October to begin collecting pledge data for FY2009.  We won't be recording payments against those pledges until January.

Basic export feature: http://issues.civicrm.org/jira/browse/CRM-3399, has been implemented in v2.1. Should be available in next alpha.
