duplicate problem
August 18, 2008, 06:00:04 am
I have the following problem with importing contacts (organisations).
In the database there are already contacts (organisations) with the same name, but on a different location.
When I want to add something to them with import (add them to a group or sth) there's always an error for duplicate records. ("Record duplicates multiple contacts"). How can I tell civicrm that organisations with the same name but different address are not duplicates?
I tried with " Find Duplicate Contacts" but I couldn't make it work.

thanks

When you go to import the records, try selecting the "no duplicate checking" combo button.
Just verify all the records are correct before doing so, and it should allow all the entries.

If not, maybe one of the moderators can shed some light on it.

Another possibility you could do would be instead of importing a bunch of new entries so you have a big list of duplicate named companies.
You could change the address "type" to something besides "work", to "other" for instance.
It just depends how many other addresses each company has, and if the other "types of address" can fit your needs.

Hope that makes sense, if not I can try and clarify.

Thanks for the reply.
I really need each company as a different one .
I've tried with the "no duplicate checking" combo button, but then I get a lot of duplicates.

Have you tried exporting the existing organizations with their unique CiviCRM Contact ID. Then you should be able to select "Update" on duplicate and map that field to "Internal Contact ID" on the mapping screen.

I forgot to say that I was transfering data from one db (database A) to civicrm.

do you suggest to export the civicrm internal ID into Database and then try to import?
I already tried to do it with unique external ID's (from db A) but that did not work.

If you include the CiviCRM Internal Identifier (ID) as a column in your import file when doing UPDATES to existing records, and check the "Update" radio button for Duplicate Handling - then CiviCRM can match the rows in your import (CSV) file using the unique Internal Identifier. This means you don't have to worry about orgs with the same name.

How you get that Internal ID into your file to be imported depends on your flow. If you are doing repeated exports from "database A" to CiviCRM - then it would make sense to export it INTO Database A and then include it when you are exporting data back out of Database A to update CiviCRM.

NOTE: Just tested this in 2.1 alpha - so not sure it's working properly in 2.0 ...

I tried to do the following:
Import organisations with "no duplicate checking" with extra input.
So I have duplicates in the database.
Then I did a duplicate check (Find Duplicate Contacts / and then "use rule" for Organisations)
I merged duplicates transfering some fields from duplicate to original.
So far so good.
But what happens is that after merging Organisations turned into individuals ???   :o  :(

I don't understand

can you reproduce this on http://sandbox.civicrm.org/

if so, please file an issue and we'll fix it before the next alpha/beta release

in 2.1 it is working fine  :D
I'll check problems in sandbox first in the future. Thanks.
