Beginner's question: Putting Activity fields in Profiles?
September 03, 2008, 03:35:36 pm
Hey, folks! I just started using CiviCRM and have been blown away by it. Thank you, thank you, thank you!

I'm having a problem that's probably just related to my newbie-ness. Here's the situation: I'm trying to keep track of reviewer's copies that my publisher's sent out. To do so:

1) I created an Activity Type, "Send Reviewer's Copy".
2) When a qualified person asks for a reviewer's copy, I add them as a contact and assign that Activity to them, with the status "Scheduled".
3) I send contact info on these people to my publisher, who fulfills the order (I hope!).

Now, I want to Batch Update them all so that "Scheduled" changes to "Completed". I thought I'd do it through Profiles, but found that I can't add Activity fields to Profiles. Any ideas?

I'd also welcome other suggestions on how to do this. Maybe through Tags?

Thanks in advance,

A possible work around:

Instead of using Activities, just create a custom field of the Select type called "Review Copy" for Contacts. Your options might be "Requested," "Scheduled," and "Sent." In the future, you might even want to add options for "Review rejected" and "Review Published."

I think this might be preferable for reporting/tracking purposes also. For example, you could easily search for all contacts who have received a Review Copy, and use "Email to contacts" to blast a follow up message.

Now, as Contact-based fields, you can use the 'Batch update by Profile' feature.

Hope that helps.

Thanks for the tip! That makes more sense -- I just didn't understand the architecture. Thank you.

BTW, I think I discovered a small interface bug. Here's how to reproduce it:

1) Create a profile that shows a multiselect custom field.

2) Do a search that returns multiple hits.

3) Select at least two of those hits, then choose "Batch Update via Profile".

4) In the first record of the found set, select multiple options in the multiselect field.

5) Click the Copy icon to replicate that multi-option selection in the rest of the records.

There's the error: Only the first selected option will be replicated, and the other options will be *deselected* in that first record.

Related: If you select *no* options in a multiselect field for the first record and try to Copy to other records, that also fails. (It succeeds with other field formats, such as checkboxes.)

Let me know if I should re-report this through some other channel. (Sorry, I'm new here.)

Thanks again for your help,

See if you can replicate it on the demo site. If you can, it's a bug, and can be reported using the "View Issues and Report Bugs" link at the bottom of every civicrm page everywhere.

demo is at:

This is a known bug and will be fixed in 2.2 :)

Thanks for letting me know -- that saves me the trouble of making an unnecessary report.
