New organization popping up with new individuals
October 24, 2008, 06:14:01 am
I am not a developer and not even very technologically proficient. I have several volunteers inputting new contacts using a written protocol. I decided to put all contacts that have names under new individual and only use new organization when we have no person's name. When cleaning up after the volunteers, I found tens of organization records with no data in any field other than organization name. I deleted them after confirming the complete information is under the person's name. Now I notice these blank organization records are popping up again. Maybe the volunteers didn't input these empty records. Is it possible the system is creating these blank organization records? Why? How can I stop it?

When you say "blank organization records" - do you mean that they don't have an Organization Name filled in? This "should be" impossible to do using the New Organization form - since at least an organization name is required.

Sorry I wasn't clear. What I mean is that there will be an individual's record with the individual's name and the organization s/he works for in two fields: 1) current employer, and 2) first line of address field. Then it seems that an organizational record pops up, but the only thing in it is the organization's name -- no address, email, nothing. Am I just crazy (it is possible)?

If your volunteers are entering an Organization Name in the Employer field when they create a new individual, this will result in a new organization record being created automatically with a relationship of "Employer of" the individual. Sounds like that's what's happening. If you don't want this behavior, tell them not to enter  a value in the Employer Name field.

This is incredibly helpful. How can I learn stuff like that? I have so many little questions, like about why the individual's name doesn't print on the mailing labels, and I don't have anyone to ask. I haven't found this kind of thing in the documentation. Please tell me if I'm missing something.
