Update registration information after registered?
January 06, 2009, 04:43:32 pm
Hi,

I would like to support the following use case:

1. User registers for my event
 - They are registering a "team" for a science Exposition
 - During registration I present them with fields such as Team Name, Team List, Coach Name, Team Photo (file upload), etc.  They MAY or MAY NOT have all this information when they register.  For example many teams don't decide on a team name till later, need time to take their official team picture etc.

2. After they register I would like to be able to query who has not supplied certain required information.

3. I would like to generate an email that include a link for them to view and edit the information they supplied when registering

It is that last bit I'm having trouble with.  It seems like the only way for them to edit the information after registration is complete is either very cumbersome, or it has to be done through the admin interface.

I guess what I'm looking for is more like a conference style event in a way where you have someone register right away, but you need to them collect additional details before they attend (like meal preferences, which session track they want to go to, etc.) which they may not have decided or know at time of registration.

Any thoughts on this?  I looked through a the documentation and a lot of forum posts and didn't see any suggestions for this sort of event.

Thanks,

Peter

If you are using a profile within the Event page, then can't you also use the Profile to show/collect the extra data - sent them an email with a checksum to the profile, that way they get to see what data is already collected and they can fill in the missing fields. I haven't used Profiles with Events but the underlying logic  shoudl be valid.

I'm pretty new to this.  That sounds good.  Will let you know when I've had a chance to try it.

Note that the profile allows you to view/edit only contact information and not event related information.

A future release of CiviEvent will add this feature (ability to update/cancel/modify event registration details). If important to your organization, consider either sponsoring or contributing code that does so. I suspect its a 50-100 hour project

The event I'm planning is coming up shortly so won't help by then.  I'll probably work around by using a CCK based Node type in Drupal which I will manually send to registrants to collect needed details (my event maxes out at 25 so not too onerous to set up).

After that I'll look into this.  Seems like it would be a popular use case.  Many non profit orgs run conferences.  And I've registered for enough conferences to know that they often want to collect information about the participant specifically for the conference as the conference approaches.

Unfortunately I couldn't see any way the the profile would help me as peterd suggested.  Perhaps I didn't understand "send them an email with a checksum to the profile".  When I send an email I don't see profile tokens, only contact tokens.  So for example I see contact.checksum, but not profile.checksum.  I would need a link token that would take the user to a specific profile (associated with a participant record) for it to accomplish my goal.  I'm very new to this so if there are steps I'm missing please do share.

Thanks,

Peter

Sorry, too busy to be much help right now, but a search for checksums on the forum should point you to the solution. The link in the email then takes people - without logging in - to a profile, but as Dave points out (news to me) this won't help if you are needing them to alter their Event data, rather than separate info like email, names, contact details etc.

If Team Name, and team List are Custom Data not Event Data then you may be okay, but you may want to wait on a wiser head with more time in case I am sending you on a wild goose chase.

Off to do some kayaking for a few weeks ;-) - yay the southern summer.

I personally believe Peter posted purely so he could point out that he is off on holiday in the sun while others freeze...
