Private group calendar
January 11, 2009, 08:46:07 pm
How can I create a calendar & events that are specific to a group?  And only only group members to have access to it?  I'm new to Civicrm so I'm getting used to things :-)

The main thing I am trying to accomplish here is to create a group for the organization's Board of Directors.  The first part - allowing the board members to see contact info and email each other - is easy.  But they would additionally like a private calendar, and that does not seem straightforward.

thanks,

Arp

Hello, quick question. What version of CiviCRM are you using and on what platform ? Drupal / Joomla / Standalone ?. For calendar are you using
the Calendar and Events from Drupal  (if you're using Drupal).

best.

Yashesh,

I'm using CiviCRM 2.1.4 with Drupal 6.0.

I'm not using any calendar module - yet.  I was under the impression that Civicrm would generate a calendar based on events.  Is that not the case?

thanks,

Arp

any idea what gave you that specific impression? just curious and would like to correct and fix it if needed

we dont generate a calendar based on events, but we do have an RSS and iCal feed which you can use in your favorite calendaring program

I had this notion that iCivicrm groups were like Drupal Organic Groups, where each group is essentially a subsite with it's own calendar and so forth.  I'm ok with using OG to do this, but it is useful for the Civicrm groups to have contact info and list of events per person.  And I just made the assumption that a calendar was generated.  So I guess what I'm really looking for is a way to combine Civicrm groups with Organic Groups?  I am, as is obvious, a bit confused about this :-)

Arp:

Hi. In civicrm 2.1.4 there's a module called  CiviCRM OG Sync which you could use to synchronize Drupal Groups to CiviCRM groups.

Yes, that does help!  Now the sync is listed as one way from OG -> Civicrm.  This means that I would have to add users in Drupal then they would be added in Civicrm?  And can OG then pull stuff like contact info from Civicrm (so I can make say a list of group members with links to email them)?

Also, can events be synced as well?

Thanks very much - this is a new endeavor and while I know Drupal well, I feel like I'm back at square one with Civicrm :-)

I think you CAN do most or all of what you're describing with a combination of:
Organic Groups
CiviCRM OG Synch
CiviCRM Access Control Lists (ACL's) which you can use to limit access to Events based on belonging to CiviCRM Groups

... however I'm not sure it's the best approach for your requirements. For one thing, CiviEvent's "sweet spot" is paid / public events with online registration etc. If your "calendar / event" use cases are more like small group ("private") meetings etc. that are maintained by group members - I'm not sure the CiviEvent interface for configuring events will be appropriate. You might want to just do CCK events.

The main purpose will be for public events/fundraisers, accepting donations online and such.  The Board seems to want their own calendar of events and a list of contacts.  I'm thinking that it should be separate from Civi and I can use OG to make their special place.

Just in case, is there any way in Civi to make events that are only visible to one group?

Also, is there any way to sync or pull contact info from Civi - like a board member's phone & email?  Or will the members in OG need to have additional profile fields that will need to be manually edited?

Here's the specific request:

Quote
Hopefully the regular schedule of events would also populate the board calendar.  In addition, it would show the dates of all board meetings and committee meetings.  The remainder of the board site should list each committee and its members (with links to their e-mail addresses) and should have a place to post pdf's.  In addition there should be a complete board list with telephone numbers, addresses and e-mail addresses.

If I could pull the contact info into a Drupal profile then OG should be able to handle this.  I just don't want to have to make someone go to 2 different areas for this (ie Civi & OG).

You'll have to write custom code to accomplish this. We dont interact with drupal profile module. You can also use event acls to restrict events to a specific group.

I'm not writing any custom code, so I'll have to determine the workaround.

The simplest would be to just use OG with private events for groups (thus separate from Civicrm events), and then use the Date module to import the iCal feed for Civi events.  And use profiles with fields for contact info, have a page for all group members, etc.  Does that make sense?

Makes sense EXCEPT as far as I know the Date / Calendar modules for Drupal 6 have NOT been used successfully to import CiviEvent iCal feeds. Those modules have still been "under development" and I don't know if anyone has tried the latest versions so would be great if you report on your efforts / results trying to use this approach.

Ouch.  I haven't tried importing any iCal feeds at all before - here's hoping for the best.  I'll be sure to post about my experiences (I'm sure I'll be posting about lots as I get a handle on Civi :-))
