Big event management requirements
February 26, 2009, 03:49:46 pm
CiviCRM seems like a good fit for our non-profit club, which has about 10,000 members and is growing. I have no doubt that civiCRM can handle the membership and donation requirements. However, I think we are unusual in that we host about 100 events per year for which people need to register. These events are open to both members (who get a discount) and non-members. I believe there are more than 50,000 different partipants across all the events. Some people participate in multiple events.

Does this level of event management seem like a stretch for civiCRM? Also, other things being equal, I'd prefer to use Joomla than Drupal. But clearly civiCRM comes from the Drupal world. Is using Joomla asking for trouble with civiCRM? Thanks very much for your advice.

Your summary of feature requirements is pretty succinct - so there may be functionality show-stoppers and you'll want to spend some time with a test install. The "event discounts" for members feature will require you to build a pretty simple custom module that uses our new buildAmount hook to check for membership status and apply appropriate discount(s).

From a "scaling" point of view, I suspect the participant numbers are a good bit higher than any existing implementations (although we are aware of installs with ~500,000+ contact records). You'll want to think about your budget constraints in terms of hosting / server environment - a cheap shared hosting setup is certainly not going to hack it.

For the "basic" event registration flow, Joomla! is comparable to Drupal as far as integration. However, if your requirements include permissioning / access control by role in your club or member type etc. - Drupal will give you better options. In Joomla anyone who is administering an event (setting it up, checking on participants, printing attendance sheets, etc) must have Administrator back-end access - which can be quite problematic for organizations with volunteer staffing etc..
