Permit users to send emails but not record them as Activities

This is a request to allow users to send emails via CiviCRM but not record them in CiviCRM.

Why? Because often we want to send emails but not record them in CiviCRM. The activity screen gets filled with emails that hide more important details. We use up valuable server space storing reminder notices.

Perhaps a checkbox could be added asking "do you want to record this as an Activity?". By default it's ticked, but if not, the Activity record is not created.

I realise this might be construed as creating an audit issue (we have no record of this use of the system). However, consider two things: the email is 'From' the user who sent it; and the alternative that can't be controlled is the user exporting the client list and sending emails from their email client. If this is considered an issue, perhaps a administrative flag could allow/disallow its use.

Interesting point.

I'm thinking that the "record activity X" and the send email(s) should be separated more easily. It should be possible to send emails when you create a meeting or phone activity, and it should be possible to not send an email when you record an activity. I'm not convinced about you're "send but not record". What about creating a new activity "reminder/not important emails" that is stored and mail like the email activity, but that would be easier to filter out ?

My experience is that the audit trail isn't important for a lot of activities...until you need it, and if you haven't stored it, then that's a bit too late ;)

More specifically, I'd like to be able for each contact field ("adding by","with" and "assigned to") to define it they should be mailed to, cc or bcced.

Eg, for the regular mail activity, adding by isn't mailed, with is "bcced" to by default (ie each recipient doesn't see the other), but you could change that so each recipient see the other (mailed to) and cc the sender.

What do you think ?
