I'm having trouble figuring out how to get it so that my users can only access the individuals in the database via a profile. I'd like it this way because there's too many fields there by default that we don't need, which would only confuse users. Hence I'm trying to limit their view of it.

I've tried setting up permissions and groups and ACLs and such (incl. disabling Drupal's control of profiles), but if i allow a user to "add contacts" then they will always be able to see all fields, not the profile only. Help?

might be easier to train your users to add/edit/view via profile to begin with. as they get more comfortable with the system they might be able to explore and use the main edit form etc (never underestimate the power of a user :), we've made that mistake a few too many times )

you might also want to try this combination:

1. put all your users in a static group, and create corresponding an acl group and role

2. create a smart group for all contacts in DB

3. give the acl group edit access to this smart group

this should allow all the users ability to edit all contacts via any profile

Thanks! Yeah, that was the idea, to have everyone start with profiles then expand when they were ready.

I guess the stepped I missed was putting all contact in a (smart) group. I'll try that today, thanks. I'm just wondering if that will work for us since we will need a lot of groups for a wide variety of access controls. Would it work to make a parent group for all contacts for the main profile, then sub-groups for our other purposes?

I'm getting very frustrated with these access controls. When users go in to look at a contact they must be limited to a specific profile.

I followed your instructions Lobo but that didn't seem to do what I wanted. I don't want certain users to have access to certain data in a contact record, but I can't for the life of me figure out how to do this. I've followed the wiki and tutorials etc but nothing seems to work.

I think it might be how I'm granting permissions in Drupal, but I don't know how that works at all and the wiki was no help. If I want to limit access to a certain set of custom data, I don't check the Drupal permission to allow "view all custom data" so that CiviCRM takes over that area, correct? It doesn't work =( Please help! (again =)
