Contacts & CiviMembers: Struck on basic concept
April 19, 2009, 11:32:43 pm
I have installed and starting to test Drupal+CiviCRM but some basic questions are still blocking me

- What is the difference between Contacts and CiviMembers?
- If I create a new user (using Drupal), does he automatically become part of contacts? And can they become part of CiviMembers also?
- Is it possible to give moderation rights to one/more of Drupal logins,  to be able to create new CiviMembers?
- I have installed CiviCRM populated with default data. The CiviMember comes with these default fields (Source, Join Data, Start Date,....). Is it possible to add more fields using admin interface?

Not sure if this helps you much but
- everybody and organisation on civicrm is a contact
- civiMembers are people who are 'joining' an organisation, usually for a defined period, and often for a cost.
- yes fields can be added as part of the Membership data, but they should relate directly to the 'membership' rather than the contact in general
- to create new data fields, go to /civicrm/admin/custom/group?reset=1 - you create the data fields there, and specify if the are for Contacts, or Members etc
- you then use Profile to make those fields available for web visitors to fill in, view or search etc
- yes I believe once set up, all new Drupal users will be in civicrm - but not v.v. unless you make that happen
- those people can then become 'civimembers' if they are 'joining' an organisation - you dont need them to be civimembers just to have them in civicrm.

Thanks! That helped a lot. Still my doubt remains as to what is the difference between "Civi Contacts fields" and "CiviMembers fields", or they are overlapping with CiviMembers having some extra fields?

I am trying to implement HR process kind of tool, where

- Few people have access to this tool
- Some of these users should be able to create "users" inside this tool (i.e. employees of the company = Civi Contacts?), after logging in. But these employees themselves will not have access to this tool. (but if needed, that should be made possible)
- Import list of existing employees of the company. (= Import Civi Contacts?)
- Search is restricted on per profile field of these contacts, i.e. some users of this tool cannot see employee's gender, salary etc.

Can you explain what a 'member' is in terms of your organisational structure? Is it something people pay for, that is time limited, or what?

Member = Employees of company, permanent or fixed term contract.
Members in general will not have access to this Tool, but if needed, can be given, for e.g. to fill in timesheet entry.
"Fields" of members would be like (Name, email, nationality, country, gender, salary, start date, end date, project name...etc)

User of Tool = Few "selected" people, who are permanent employees company

Requirements
1. Users of the tool can upload or create members (Next step would be to put which user can view which kind of members..)
2. Users can search members on various criteria
3. Edit Access: Which user can see/edit members (Next step would access, i.e. some users cannot see "salary", and then access based on field value, i.e. some users can see Memebers of only "France")

4. Later down the line... Simple workflow. One user creates a request to hire new person, and sends for approval to another user... and when person is hired, its added to "Members"

thanks for your time :)

You see to me, those aren't members. They are just contacts who have a 'relationship = current employer'.

They can use profiles to fill in timesheets.

Fields of contact do the name/email etc. And you use Custom data (for Contacts) for salary etc.

You use Permissions/Roles to determine who sees what info - and/or ACLs to restrict who they get to see.

But overall I think you need to read a bit more of the documentation and step away from 'member' concept. HTH
