Managing Lists in CiviCRM

We are very close to moving to CiviMail. Our current email system isn’t integrated with our donor database so our current email lists have been manually uploaded. One of the problems is that we think that there are people in multiple groups. It’s not a big deal in the current system because the email system will only allow one email to be sent to an address per mass email –even if that email address is on multiple lists.

1.Will CiviMail keep you from sending multiple versions to the same email address in one mailing?
2. Should we just start fresh in the new system and pull those lists again?
3. Does CiviMail enable the user to set rules so that new donors will automatically be added to a new group?
4. Our email lists are based on whether a person has made a donation and the type of donation that they have given. How should I deal with people moving from group to group in CiviCrm? (Example: A person signs on to receive our E-Newsletter so they are in the subscriber group and not yet in our donor database. They make a gift of $100, are now in our donor database, and should be moved into our Membership email group. How do I make sure that they are added to the one group and taken out of the old group automatically?)

1. CiviMail will send only one email to the same contact (even if the contact appears in multiple groups). However if different contacts have the same email address CiviMail will send multiple emails (i.e. one to each contact, but it ends up in the same mail box). There has been a patch on the forums to address this (i think)

2. I suspect this will depend on how big your lists are and the importance of those groups.

3. This case sounds like smart groups, which are basically query driven groups that are built dynamically.

4. If you can structure the workflow as smart groups this will happen automatically. However in this case you might need another drupal module to implement your business rules and conditions

Can't you create a SmartGroup from a Custom Search where Custom Search is 'in this Group but not in that one' ie in Newsletter but not in Donor+Newsletter" and therefore have a Smart Group of 'newsletter only' - and then exclude them in civimail, where the 'to:' Group is Donors and Newsletter?
