Field Usage Questions

Hi all,
This is my first post so please be gentle! I'm in the process of trying to understand how my current data set will fit into CiviCRM.
I have no doubt that it will work, but would like some guidance on the setup decisions.
We are a men's ministry conference organizer and host and we do multiple mailings to selected people on our contact list.

We have 2 levels of data.
Level 1 is the Church record
Level 2 is the individual record
There are multiple individuals who belong to a church (relationships).

We also have historical data for each record which indicates which mailings they received, emails sent, conferences attended etc.  We call these Profile Codes and I assume they will be similar to "Activity Codes"?

My question is how would you suggest I organize this data in CiviCRM?
Ie.  Where would I import the Church records and where would I import the individual records?
Any pointers would be greatly appreciated.

I love what I have seen so far and am itching to get going with this product.

In general, you can import the church records as 'organizations' and the individual records as 'individuals'. Create two separate excel sheets and import each. Then you can do a third excel sheet to handle the relationships.

Your activity codes would be exclusively related to the individuals.

Thank you for the reply Geilhufe,

The churches or organizations will require that activity be posted against them.  Does that mean that I will have to treat the churches as an individual in order to do so?
Also, how does one import relationships?  I see the function to import activity but is there a function to import relationships in CiviCRM?

Here are the basic steps as I now see them.
1. Import the Churches as an Organization or as an Individual (depending on the answer to the question above)
2. Import the Individuals
3. Import activity history to Individuals and Churches
4. Import the relationships between Individuals and Churches

How does that look to you as a basic flow?

I am extremely appreciative of the help and support.

Ryan,
Activity History records can be imported for both Individuals AND Organizations. However, you'll need to include the CiviCRM contact ID in the import file for the activities so they can be matched to the appropriate Organization record. (For Individual records, you can either match on CiviCRM contact ID OR on First+Last Name+Email).

With regard to importing relationships... you can import your Individual members and include a column for their Organization Name (Church) in each row. Then when mapping the import, you would select your desired relationship under "-related contact info-" and map the Organization name. For each row, the import will:
* insert the Individual
* insert the Organization (if a church with the same exact name doesn't already exist)
* create the relationship between them

The one caveat is if you have "different churches" which use the exact same Organization Name. If so, you'll have to create the relationships manually (or at least fix those cases after the import).

Hello all -

Can someone direct me how to Import Activity History?

I see that people are saying here that it can be done, and darned if I've been thru the menus several times now and don't see how.

just to follow up you need to make sure you have the civicrm blocks enabled and shown.. otherwise you dont see the civicrm/import showing the activity.
