Accounting Entry Support for Contributions
June 23, 2009, 09:35:53 pm
I'm curious about how others create their detail accounting support for contributions?  Do you have a separate detail accounting or some kind of contributions received journal or do you rely on the CiviContribute module to provide the detail support for a bulk accounting entry?

We currently have a detail membership journal where we record all cash received and then we turn right around and record the information again in CiviContribute.  Seems like double work, but I don't totally trust the supporting detail in CiviContribute because later if someone deletes the contact, the contribution also seems to go away without an audit trail.

How are others recording the accounting detail support for your contributions?

Thanks.

I've got the same question! I'm working with a group looking at implementing CiviCRM primary as a member directory, however they do fundraisers, pledge drives and email as well. Their major hang up is that they don't want to duplicate entering financial stuff (the currently use quickbooks to handle their financials), and Civi is NOT an accounting package, so it's just not capable of handling this.

How are other organizations handling this issue?

I would like to see us institute some kind of year-to-date or inception-to-date overall controls.  Also, it would be helpful if there was a general restriction without some sort of special privilege to prevent contacts from being deleted that have associated membership or contribution records - we are on version 1.9

Dave - note that the next release includes a set of Delete permissions that you can grant or deny (Drupal and Standalone).
- Delete Contacts
- Delete Contributions
- etc.

One client has asked us to explore integration between civicrm and Xero - http://www.xero.com/ - which is an acclaimed nz-based package that has already been set up for NZ UK and Aus tax regimes and which can be set up for other countries as required (see here http://custhelp.xero.com/cgi-bin/xero.cfg/php/enduser/std_adp.php?p_faqid=21&p_created=1202690672&p_sid=e1bBx6Dj&p_accessibility=0&p_redirect=&p_lva=&p_sp=cF9zcmNoPSZwX3NvcnRfYnk9JnBfZ3JpZHNvcnQ9JnBfcm93X2NudD0xMjgsMTI4JnBfcHJvZHM9JnBfY2F0cz0mcF9wdj0mcF9jdj0mcF9zZWFyY2hfdHlwZT1hbnN3ZXJzLnNlYXJjaF9ubCZwX3BhZ2U9MQ**&p_li=&p_topview=1)

Just thought I would mention this in case it sparks interest from anyone else.
