Configuration Advice -NGO directory
June 24, 2009, 11:27:06 pm
Hi

I'm currently developing CIVICRM in Drupal for an NGO database.  The directory is configured as follows
Organisation - Name of NGO and details.

Also there are three individual records
- Employee Record
- Project - Details, location
- Partner - Contact Details

All records have currently been imported and a basic directory showing contact details are in full operation.  Though can someone give me some advice on the following :-

1. Admin user for Organisation - How can I create an admin account for each Organisation that can add/ edit all records related.
2. Is there a way to automate the relationship process for the admin users adding new relationships to their organisation.
3. Can profiles be used to automate the process of the last point 2.

4. When a new record is updated / edited by the admin organiser I want the main admin user to be notified.

5. Once a year we produce a book of  all NGO contact details / projects.  Layout is more important than advanced reporting features.  Is views capable of this or has anyone got any other advice .

6. Is there a better way to organise the data, should I keep Inidividuals as employees and use a different system to organise partners and projects.

Thanks
Paul

Hi Paul -

RE: 1-4 This functionality is not available out-of-the-box. However the data model supports permissioning on relationships, and this is currently used in a limited way for Employer -> Organization relationships. There is definitely interest in the community - and a recent blog post has code for an implementation sounds like it might get you pretty far along: http://civicrm.org/node/587

5. I think you can do this with Views (quite a lot of support has been added recently covering most CiviCRM objects).

6. Employees and Partner(s) make sense as Individual Contacts related to the NGO Org records. Not sure about "Projects" since I'm not sure how these are used in your context etc. (altho you might want to investigate CiviCase / Cases for this).
