Confguration advice- sponsership of a meal
June 26, 2009, 12:26:55 pm
The organization I am helping ( a synagogue) has a light lunch and dessert table served every Saturday at the conclusion of the religious service. ( this is called the "kiddish" )  They are usually looking for people to sponsor the the meal, which is typically the family(s) who celebrated a special occasion during the service and therefore invited their friends and relatives to the service.  The sponsors for a given meal are normally thanked publicly during the service as well as in a written newsletter. The sponsor can also choose the food served, and let the office know how many people they invited.   I am debating the best way to set this up in CiviCRM. Essentially, people are sponsoring events in honor of a person or occasion.

Option A) Create a CiviContribute page called "Saturday Kiddish" and include a custom field for the date of the kiddish. Enable the "in honor of/in memory of" section.

Option B) Create a CiviEvent for each Saturday, with the participant role  set as "Sponsor".

In either case I will use a custom field to store how many people are expected.

The staff will need an easy way to figure out total invited guests from all families sponsoring the same meal, so they can determine how much food to prepare or order.

Any ideas are welcome.

On first blush, Option A seems much cleaner. One CiviContribute page with a custom field for the Kiddush date, and another for the invitee count. If custom date is searchable, staff can search/export quick list with count column (and with CiviReport coming very soon, you could extend the Donation Detail report to expose and total the custom "invitee count" field pretty easily).

Main issues:
- getting the count requires export to CSV (unless u do some coding)
- validating that they've picked a Saturday :-)
- (I think you can configure the custom date field to not show past dates ??)
