Membership renewal reminders

Morning all! Kath from wwoof here.

We seem to be having a problem with our membership renewal reminders.  Basically there are 2 types of membership at wwoof, hosts and wwoofers.  A host recently received an email reminding her that her membership was about to expire, and asking her to renew as a wwoofer - i.e. the wrong kind of membership.

Can anyone tell me how to solve this problem?  I've been to configure the renewal pages for hosts and wwoofers, and neither seems to have any text in it... where is this renewal reminder coming from?!

I'd be grateful if anyone can tell me whether this is something I can sort (by changing some text somewhere), or whether this is a crossed wire somewhere that needs to be sorted out by our developer.

Hi Kath - can you provide a bit more info about the email received from this process. Is it providing a link (using a checksum) that enables the renewer to get to a page where they can renew, without having to login - such that the renewal page already is filled in with their information?

Or are we just talking about a standard text email that has some 'time to renew' message?

the link is to the main sign up page for wwoofers on the website, not linked to a particular account.

Sure does - looks like the system has been set to use automatic reminders which will be sending out a template message - I expect the template messages can be found at
 (your site) /civicrm/admin/messageTemplates?reset=1

and you can reset which msg each Membership Type is using here /civicrm/admin/member/membershipType?reset=1

However, I would also be wanting to suggest you consider sending this out with a "checksum" which means the recipient will click on a link and the database will recognise them, and therefore make it easier for them to do their renewal online.

So the link in the email would look like ...civicrm/contribute/transact?reset=1&id=1&{contact.checksum}&cid={contact.contact_id} where XX is replaced with the ID of the Contribution Page that is being used for membership

Just a quick add-on to that - having followed the links you suggested to our template emails, I see there is no such thing as a host membership renewal template.  That is obviously part of the problem....

I am about to use the checksum token and ID to allow users to renew their membership by clicking on the checksum link in a renewal email.  In testing this it correctly displays the contribution page and indicates that the user's membership category is about to expire BUT it does not populate the profile with the user's infromation.

I seem to be using the correct link otherwise it would not display the contribution page.  I have used the link posted earlier in this forum.  Any pointers as to what may be causing the profile to be empty?
