Registering seperate activities for one event.
July 27, 2009, 10:00:40 am
Hello,

We are organizing an annual gathering/conference for our club. This event takes place over the course of three days, and there are several activities. We would like members to register online, and when registering indicate which activities they want to take part in, and which language they would prefer.

I'm looking for a way that allows members to register for the event as a whole, giving their preferences and ticking checkboxes to select individual activities they want to take part in. How would I best do this?

If there are fee / cost consequences to their selections, you can use the Price Set feature for this.

Otherwise, you can create a new set of custom fields (Administer CiviCRM >> Custom Data) which is Used For = Participants. Add your activity selections, language and any other info you need to collect from participants as custom fields here.

If you're allowing online / self-service registration - then you'll also need to create a new CiviCRM Profile with a profile field corresponding to each custom field. Then include that profile in the event registration (Manage Events >> Configure >> Online Registration  >> Include Profile.

Note that when you want to view (OUTPUT) of participant choices in a batch (the custom fields)- you'll need to use Find Participants >> Export.

You should take a minute to look at the custom search on price sets - it can be quite useful.

Note that you can use price sets even when there is no pricing implication - you can have $0 options and the prices don't have to be displayed.

You can't use price sets as the basis for Smart Groups

Reading a bit more I guess that using a price set for the activities together with custom fields is the way to go. I'll start on this, and come back if I have problems...
