Creating a mailing list from our WWOOF contacts

Hello there all, wondering if anyone can guide me through this process.  I've read through various help pages and tutorials but still not quite getting it...

I want to create a contact list made up of WWOOF hosts in each geographic region (e.g. all current hosts who live in the NW region).  I want each contact list to be print-outable, as well as emailable as an email contact list.

Can anyone help?

Hi Kath,

Yes, smart groups are a good start (that's *smart* groups as opposed to groups).

Define the criteria you need using advanced search.  That should probably be:

1) in the group hosts (I looked on your installation and there are a few different host lists - one of these is Current hosts, which is the one you should probably use in the long term, but at the moment, that will only pick up have the hosts, because a lot of them are now currently (but incorrectly) marked as expired)
2) in the region North West (see custom data)

Then export these results using the Export contacts from the More actions menu.  It will come out as an csv / excel file that after a little jiggle, you could attach to an email or print out.

If you don't want to run this search every time, you could save the search as a smart group by selecting 'Save as smart group' from the 'More actions' menu.  Call the smart group something like 'Hosts in the North West'.

PS. If you can make your questions more generalised and give more background, it will help a wider audience to help you.  e.g. where you say hosts, you should probably say 'Organisations'.  You should probably also say that you have some custom data that gives each of these Organisations a region.
