reply and bounce msgs in response to our Civimail.
September 17, 2009, 06:21:38 am
A client is asking me the following
"I'm wondering if there's any chance something is not working right
with the reply and bounce msgs in response to our Civimail.

I ask because over the last 24 hours, we've sent civimail to about
1700+ addresses. Normally we would have several dozen "out of office
auto reply" type messages at our civi address (that we check through
the webmail interface). We also would typically have *at least* a
half dozen real replies.

At the moment, we only have about half a dozen of both types of
messages combined. This does not seem normal at all. So... could
these messages be going somewhere else, or getting hung up somehow?

Are they going to civimailrfc@civimail.test.org  (THIS IS THE DOMAIN WE SET THEM UP TO USE WITH CIVISMTP), since I was forced to
choose the sending alias that had that address when I sent the
messages out?

I fear something is amiss because we have done so many mails and have
such a predictable response, and this time it's very different. I
can't t say for sure, though. But I will try replying to the copies I
got at my own addresses of the emails and see what happens to my
replies."

Thing is the last run of emails they sent as FROM rfc@test.org their real domain (which they can now check that email box on their providers web interface. But the first run we sent as civimailrfc@civimail.rfc.org so not sure if there is a way to see the messages as she notes above?
Thanks

shane

if the initial From address was civimailrfc@civimail.rfc.org and you had "forward replies" checked and there's no such email account then i am afraid you won't be able to see the actual  replies.

if the From address was set to rfc@rfc.org for a mailing and the "forward replies" option was set then they should be getting all of the replies forwarded to that address, nothing will be going anywhere else.

in order for the replies to go through the CiviSMTP return channel and be tracked in the civimail report make sure NOT to check "Override VERP".

if you check "Override VERP" and you have "forward replies" option set then all replies will go directly to the From address bypassing our return channel and therefore won't show up in the civimail mailing report. but the replies still won't be lost anywhere, they will all go to the From address, they just won't be tracked in the report.

I checked our logs and we had a few bounces and replies go through our system for this account. there were no errors which tells me the soap on the rfc.org's civicrm is set up correctly.

since bounces and replies seem to be going through and are showing up in your civimail reports my guess is everything is set up correctly with CiviSMTP.

to confirm though i would do a test mailing to some test email addresses that you can check. use a few addresses that you know are bad so they bounce.
test unsubscribe, resubscribe and replies manually to make sure everything works. then check the mailing report in civimail and make sure all numbers for bounces, unsubscribes, replies and etc look good.

let us know here how the test goes.
