Bounced emails not showing up in gmail inbox
May 02, 2014, 02:04:34 pm
Hi,

I've tried to set up a gmail inbox to handle bounced emails -- from what I understand, bounce messages get sent to the bounce-email-inbox, then Civicrm checks the inbox to count bounces.

However, when I send mailings (via Civimail) to a group including a dummy contact with a fake email, nothing shows up in the bounce-email-inbox, and no bounces are registered in Civicrm. Also, no errors are reported in the bounce job log. Perhaps I have something set incorrectly, but I can't figure out what it is (even after going through the forum, documentation/book, etc).

My settings:

Server: imap.google.com
Username: username [@gmail.com]
Password: password
Localpart: [blank]
Email domain: gmail.com
Return-path: [tried both blank and as username@gmail.com (same as above)]
Protocol: imap
Use SSL: Yes
Used for: Bounce processing

Thanks for any help, it'll be really appreciated; I've been trying to figure this out for a week now.

hi - the only note i have to myself re setting up gmail accounts for handling bounces (which we do a lot) is

(settings/filters) set up Spam filter as Has the words --- is:spam (as per http://www.mydigitallife.info/how-to-disable-and-deactivate-spam-filter-protection-in-gmail-or-google-mail/) AND Do this: Never send it to Spam

Hi Pete, thanks a lot for your reply; I will make sure to do that as well. However, my bounce inbox is not receiving any emails, not even to the spam folder, so I'm not sure that this particular problem would be solved by creating filters (I wish).

I guess I'm not sure if this is a Civicrm problem or... something else entirely. No idea where the bounced emails are going.

It isn't possible to send emails as gmail.com for your civicrm server (google forbid it throught its SPF). There is nothing you can do about it and you need your own domain.

Once you have your own server, you need to fix your setting  and put "username+" (with your username obviously)

Good luck

Hi Xavier,

Thank you! But, I wasn't trying to send email via gmail, just to receive bounces (which aren't coming in). It says that this is possible on the email system config page:

Quote
External address: If neither of the preceding methods works, consider creating a new account on a service such as Gmail and use it to receive the bounced emails. You will have to set filters in this account so it doesn't discard as spam all the bounced email it will receive.

Unless I have completely misinterpreted something (including your reply)? This is my first time handling this kind of setup. I did see other forum topics where people were using gmail for bounce handling, but perhaps this is no longer possible? Or are you saying that civicrm has to send mail through gmail in order to process bounces? Apologies for the confusion, and thanks for your help!

deehi - we use a google account for bounces - but that is not the same as a gmail.com address

my settings that differ to yours are like this

Server: imap.gmail.com
Username: eg xxx@mydomain.com
Password: password
Localpart: xxx (probably not required)
Email domain: mydomain.com

so the only real difference i see is in the server - yours is imap.google.com, mine is imap.gmail.com - no idea if that is important

no idea if the above helps but thought i would compare settings

Whoops, I wrote in my settings incorrectly -- I am using imap.gmail.com, unfortunately, so I guess it's not that. Thanks a lot though Pete, I appreciate your help!

So from what I gather from both you and Xavier, perhaps a gmail.com address is not appropriate to use with bounce handling? I think I will have my office apply for an additional account on our hosting server, which is managed by google -- which I think is what you mean by google account vs gmail address? I had never considered underlying differences between these two types of accounts, so thank you for mentioning it!

I can't answer that question - but X is usually (always?) right ;-)

We have google accounts using one of our domains for email bounce handling

So yes we are using 'a' google inbox, no we are not using @gmail.com type address.

hope that helps

I'd agree with Pete on that one ;)

You can't* send emails from your server using a gmail address,  so indeed you can't use it for bounce. however works fine (provided your SPF is properly set up) to use your own domain with google apps.

X+

* theorically, you could use google smtp, but it's so much another can of worms that we'll take a shortcut and say it's not possible.

Okay! I'll go ahead and push the application for a new email account on our hosting server. Thank you both so much for your help! :)

Re: Bounced emails not showing up in gmail inbox

So we went ahead and got an additional email address on the same server and I set it up, but the inbox is still not receiving bounced emails -- in the test cases, a made up email on a dummy contact, thisisnotarealemail@examplesite.org. Here are my current settings:

Name: bounce email
Server: imap.gmail.com
Username: [username]@[domain]
Password: [password]
Localpart:
Email Domain: [domain]
Return-path:
Protocol: IMAP
Source:
Use SSL: Yes
Used for? Bounce processing

I'm still not sure what's happening, and I saw a couple other forum posts where peoples' bounce inboxes were not receiving bounces at all, but with no resolution on those topics (at least none which are applicable to me as far as I can tell). As before, Civicrm seems to be able to access the inbox, it's just that there's nothing there for it to sort. Any additional help would be greatly appreciated!

Thanks for your reply! I see that the settings in that you specified in that thread are pretty much what I have, minus the localpart; also, I'm not using a gmail.com address, but a google account with a different domain. I tried to set up bounce processing with a gmail.com address initially but ran into the same problem I'm still having.

check the spam box on gmail?

If that's a problem setup filters per step #5 here:
